Parish Administrator (part-time) - St. James', Hackettstown

St. James' Episcopal Church (Hackettstown NJ) is looking for an experienced Administrator to join our team. This a part-time position (15-20 hours/week). The successful candidate will be responsible for providing administrative support to the church, managing daily operations and ensuring that all tasks are completed in a timely and efficient manner. The ideal candidate will have excellent organizational skills, strong communication abilities, and the ability to prioritize tasks.

Administration

  • Manage phone, mail, and email accounts
  • Prepare correspondence as directed
  • Prepare annual reports to Diocese of Newark
  • Organize and file church business activities
  • Manage supplies for office, worship, and facility
  • Liaison with building users, cleaning service, and contractors
  • Maintain Master Calendar of parish services and events, building usage, and rental agreements
  • Prepare and publish weekly Sunday bulletin, publish monthly Journal
  • Ministry Schedule: coordinate and mange with Ministry Scheduler software

Financial

  • Accounts Payable: process requisitions, coordinate with Treasurer, print checks
  • Counter Report: manage donations and receipts in Church Windows software
  • Payroll: manage records with ADP
  • Prepare and distribute quarterly and annual pledge statements to parishioners
  • Prepare and organize materials for annual financial audit 

Qualifications

  • Previous experience as church administrator preferred
  • Must be skilled in Microsoft Office
  • Church Windows experience preferred
