Diocesan Staff Opening: Director of Administration & Secretary of Convention

This full-time position is comprised of the interrelated roles of Director of Administration, with managerial responsibilities supporting the work of diocesan staff and various diocesan groups and committees, and Secretary of Convention, an elected canonical position with overall responsibility for diocesan conventions.

The person in this position will work closely with the Bishop, the Canon to the Ordinary and the Chief Financial Officer, and will serve as a member of the diocesan Leadership Team.

Job Description

Director of Administration responsibilities:

  • Manage Episcopal House building and services to create a suitable work environment for diocesan staff.
  • Direct staff of one person (Receptionist); collaborate with Property Manager regarding responsibilities pertaining to Episcopal House.
  • Prepare and track administration services budget.
  • Maintain listservs and website content for various diocesan committees and commissions.

Secretary of Convention responsibilities:

  • Organize and manage an annual Convention for 700+ people, as well as occasional special Conventions as the need arises.
  • Prepare and track Convention budget.
  • Supervise staff and recruit, train and supervise volunteers working at Convention.
  • Prepare Convention agenda in consultation with the Bishop.
  • Serve as liaison and member ex officio of Convention committees for Arrangements, Nominations, Resolutions and Rules of Order & Elections.
  • Staff liaison and support for the HR Committee and the Constitution & Canons Committee
  • Monitor progress of Convention-created task forces and committees.
  • Publish Convention minutes and diocesan Journal.
  • Maintain Convention-related listservs and website content.
  • Monitor follow-up on diocesan actions required by General Convention resolutions.
  • Serve as Secretary of Diocesan Council (which functions as “Convention between Conventions”), with responsibilities outlined below.
  • Act as “first responder” to any questions or issues pertaining to Conventions or Diocesan Council.

Secretary of Diocesan Council responsibilities:

  • Member of the Diocesan Council Steering Committee.
  • Set meeting agendas in collaboration with Steering Committee.
  • Provide logistical support for Council meetings, including planning and coordinating with host locations, and food arrangements.
  • Assemble meeting packets, write and publish meeting minutes.
  • Follow up on Council decisions.
  • Plan annual Council retreat in collaboration with Steering Committee.
  • Organize quarterly District Convener meetings; set agendas in collaboration with Leadership team; assemble meeting packets; write and publish meeting minutes.
  • Council liaison to three diocesan-sponsored, federally funded housing boards; identify diocesan representatives to Boards of Trustees.
  • Maintain Council- and District Convener-related listservs and website content.

Qualifications/Experience

  • Bachelor Degree, minimum; MBA or Master’s degree in Public Administration a plus.
  • Ability to diplomatically manage and motivate people, including many volunteers, in a wide variety of groups and committees.
  • Excellent interpersonal communication and writing skills; ability to communicate with a diverse population.
  • Ability to prioritize and respond in a timely way to multiple requests.
  • Ability to set meeting agendas, and to efficiently manage operational and logistical issues.
  • Experience with budget preparation and tracking.
  • Proficiency with technology, such as the Microsoft Office Suite.
  • Demonstrated personal initiative.
  • Familiarity with the Episcopal Church and its organization/structures.
